Refund & Cancellation Policy

This policy applies to all school subscriptions to the StudyRealm digital learning platform (studyrealm.app). Please read this before completing your purchase. By making payment, the School agrees to the terms below.

Billing Model

StudyRealm operates on an annual subscription model only. There is no monthly billing option. All subscriptions are priced per enrolled student per academic year.

๐Ÿ“Œ Payment Timing
The full annual subscription fee is payable 100% in advance before platform access is activated for any student. A GST-compliant invoice is issued before payment is due. 18% GST is applicable and is charged in addition to the subscription fee. Schools registered under GST may claim input tax credit on the GST component.

Cancellation Policy

Schools may cancel their subscription at any time during the academic year by providing 30 days' written notice to StudyRealm Technologies.

How to cancel: Send a written cancellation request via email to privacy@studyrealm.appfrom the school's official registered email address, clearly stating the school name, MOU reference number, and intended cancellation date. Alternatively, submit via the support portal at studyrealm.app/support.
Notice period: The 30-day notice period begins from the date StudyRealm acknowledges receipt of the written cancellation request. Acknowledgement is sent within 2 business days.
During the notice period: Platform access continues in full for all enrolled students and teachers until the cancellation date, unless the school requests earlier deactivation in writing.
Post-cancellation: Platform access for all students, teachers, and parents is deactivated on the cancellation date. All student personal data is erased within 30 days of the cancellation date. Written confirmation of data erasure is provided to the school.

Refund Policy

โœ• Standard Position โ€” No Refund
The annual subscription fee is non-refundable once platform access has been activated. This applies regardless of the reason for cancellation, including mid-year school closure, change in management, change in board affiliation, reduction in student enrollment, or dissatisfaction with the platform.

This is because StudyRealm incurs costs at the time of onboarding โ€” content provisioning, server capacity allocation, teacher training, and data infrastructure setup โ€” regardless of how long the school actively uses the platform.

โœ“ Exception โ€” Material Breach by StudyRealm
A pro-rata refund for the unused portion of the subscription year will be issued if:

(a) StudyRealm Technologies materially fails to deliver the platform as described in the signed Memorandum of Understanding โ€” for example, prolonged platform downtime exceeding 7 consecutive calendar days without resolution; and

(b) The school provides written notice of the breach, and StudyRealm fails to cure the breach within 15 calendar days of receiving that notice.

In such cases, the refund is calculated as: (Remaining full months in the subscription year รท 12) ร— Total fee paid. Partial months are not refunded.
โš  Pre-Activation Cancellation
If a school cancels before platform access is activated (i.e., before the student roster is uploaded and accounts are created), a full refund will be issued within 7 business days, less any bank transaction charges applicable.

What Happens to School and Student Data After Cancellation

StudyRealm complies with the Digital Personal Data Protection Act, 2023 (DPDPA). On cancellation or termination of a school's subscription, the following process applies:

Cancellation Date โ€” Immediate Deactivation
All student, teacher, and parent accounts are deactivated. No new data is collected from this point.

Within 7 Days โ€” Data Export Option
The school may request a data export of student progress records and mastery scores in CSV format. This request must be made before or on the cancellation date. No export is available after deactivation.

Within 30 Days โ€” Secure Data Erasure
All student personal data โ€” including names, scores, AI chat logs, progress records, and parent contact details โ€” is permanently and securely erased from StudyRealm's active systems and backups.

Confirmation โ€” Written Erasure Certificate
StudyRealm provides a written confirmation of data erasure to the school's registered email address within 35 days of the cancellation date.
๐Ÿ“‹ Statutory Retention Note
Certain technical and security logs may be retained for a minimum of 1 year as required under Rule 8 of the DPDP Rules 2025 and applicable law. These logs do not contain student academic data or personally identifiable information beyond what is necessary for security audit purposes.

Renewal and Non-Renewal

Subscriptions do not auto-renew. At least 45 days before the end of the subscription year, StudyRealm will send the school a renewal offer with pricing for the next academic year.

If the school does not wish to renew, no action is required beyond not making the renewal payment. Platform access lapses at the end of the subscription year and the data erasure process (Clause 4) is initiated automatically.

Refund Disputes and Grievance Redressal

If you believe a refund is due under the exception clause (Clause 3) and have not received a response within 7 business days of your written request, you may escalate to our Grievance Officer.

All disputes not resolved through the above channels shall be subject to arbitration under the Arbitration and Conciliation Act, 1996, with the seat of arbitration in Bangalore, Karnataka, and governed by the laws of India.
